How to get to Time Cards: From the
Main Menu, click on
Time Cards.
The Time Cards screen is used to check over/edit time transferred from the Quick Invoice, or add hours manually if there is no invoice.

- The Emp-Code defaults to the person who is logged in.
- List All End Dates:Dates: Checking this box will show any hours unpaid for all week ending dates. Make sure you check this box if you feel you are some how missing hours. Doing this will usually find your mistake.
- The End Date defaults to the end date for payroll.

- Line # - The automatically assigned line number. Changing this number will change the order of the listing. Date - The date worked.
- End Date - The end date for the date worked. This date defaults to the next payroll date automatically.
- Emp Code - The technician's employee code. (Autofilled)
- Time In - Time in for this set of hours.(optional)
- Time Out - Time out for this set of hours.(optional)
- Hours - The amount of hours is auto calculated from time in and time out, but can also be typed in.
- Invoice - The invoice number from the invoice.
- City - The city tax code is taken from the job number or work order number.
- Work # - Work order number from the invoice.
- Job # - Enter the Job number or click on the magnifying glass next to the field to search. A box will appear like the one shown below; enter a short piece of the job name and click the Submit button to bring up a list of jobs. Click on the correct job to pull the number into your time card. **NOTE--if you cannot find the job number, leave the job name in the Comments field.
- Name - Job or customer name. (Autofills from the job number entered)
- Pay Type - Regular time, over time, holiday time or vacation time.
- Use the Add Hours button to add hours to the time card hours.
- Click on the blue line number link to edit an existing set of hours.
Time from the Invoice
- Each of the six sets of labor hours shown below will be attached to a set of hours on the technician's time card.
- First the system will look for a match on the time cards on the invoice number, employee code then the date worked.

* If a match is found on the time card, the time card hours are changed to reflect the new amount of hours. Otherwise a new entry is created on the time cards. For example, say the technician OWENS enters four hours on 12/29 then is pulled from the job before finishing to take care of an emergency call and comes back later that day for another two hours. The technician enters the four hours on an invoice before going to take care of an emergency call. When the invoice is saved for the first entry of four hours a record is made on the time cards for OWENS 12/29 for four hours. Once the technician returns to the same call for another two hours. The technician should call up the same invoice and add the two hours to the four hours so there will now be a six hour entry on the invoice. Now once the invoice is saved the system will find a match on the time card for OWENS 12/29 for that invoice number and change the time card entry to six from four.
