How to get to this screen: From the Main Menu, Click on Schedule Board.
The screen below is a sample of a technicians schedule board. The outstanding schedule records are listed below the employee code and color coded. The column to the left (Dec PM) includes the December Preventive Maintenance calls for all techs, which is also color-coded. The colors are defined by the legend at the top of the screen. The PM column has different
color meanings than the regular schedule record column.
- New Schedule Record - Provides a means of creating a new schedule record when needed. Normally the schedule record is created by the dispatcher.
- New Work Order - Creates a new work order on the work order edit screen.
- Work Order L/U - Navigates to the work order edit screen with the look up button.
- Time Cards - Invoices auto generate payroll hours. However payroll hours can be edited directly.
- Parts Request L/U - Navigates to the parts request board.
- The schedule record can be edited by either clicking on the cell, or by placing the mouse over the schedule record for 4 seconds. This pop up screen contains a number of actions that can be activated by the technician.
- Customer Call - Links here will show you if the customer has a contract and what kind of contract it is; click on the link to go to Maintain Customer and get the equipment.
- Accept the call(In-Route); Arrived At Call; Departed Call - Fills in the time in-route, time arrived and time departed on the schedule record. This will change the color of the call so the dispatcher can see that the technician is on the way. These times can be edited by clicking directly on the schedule record from the schedule board.
- Remove From Board - Will mark the schedule record as complete so it will be removed from the schedule board. Usually not needed since the Complete Call selections will do this automatically.
- Complete Call New Invoice Finish WO - Will take the technician to the Quick Invoice screen. First a determination will be made as to whether parts were ordered for the job. If so then an import listing will come up first so the technician can import purchased materials to the invoice. Removes schedule record from the board by marking the call as complete.
- Complete Call New Invoice Continue WO - Same as above except the call will stay on the schedule board.
- Complete Call Add To Invoice Finish WO - This selection will only show if there is an existing invoice with this work order number. If so the existing Quick Invoice will appear and the technician will be able to add to the invoice.
- Complete Call Add To Invoice Continue WO - Same as above except the call will stay on the schedule board.
- Move To Top - Moves the call to the top of the column.
- Edit Customer - Navigates to the Maintain Customer screen . This screen also contains the customers equipment information.
- Parts Request - Clicking here will take you to the edit screen for an existing parts request to review or edit.
- New Parts Request - Creates a new parts request which allows the technician to create an entry on the parts request board that purchasing will see in blue.
- Customer Needs Quote - Creates a new parts request that appears on the Sales Quote Board to be quoted.
- Sales Opportunity - Creates a new record on the Sales Quotes Board.
- To make a parts request, click on the New Parts Request link.
- Work Order - Every service parts request needs a work order number to function properly. If creating a parts request from the schedule board, the work order is copied over automatically.
- Emp-Code - The Emp-Code is copied from the schedule board if this parts request is being created from there.
- Job Number - The Job Number is created by the sales person or the job manager. This number is copied from the schedule board also.
- Work Type - Select from the drop down menu T&M, Warranty or Job.
- Urgency - Select from the drop down menu Deliver To Site, As Soon As Possible, Pick Up Today or No Hurry.
- Date - Enter the date the parts request is created.
- Need By - The date the parts are needed.
- Original Work # - A sales person can create a new job/work order based on an existing parts request if a new work order is needed.
- Purchase Agent - The Emp-Code of the person that will create a purchase order for the request.
- Customer ID - Enter the Customer ID. This will be pulled in from the schedule board.
- Sales Per Quote By - If the customer wants a quote on the part, entering a sales person in this field will move it to the Sales Quotes Board.
- Estimated Labor Time - An estimated amount of time the technician or sales person estimates.
- Status - Select an option from the drop down menu
- From Tech Needs Quote: Informs the purchasing department to make sure the schedule record is moved to the Sales Quotes Board.
- From Tech Needs Quote Original Work Order: The part that needs quoted is related to the original work order.
- From Tech Needs Quote New Work Order:The part that needs quoted is not related to the original work order.
- From Tech Hot: Informs the purchasing department that the customer has already approved the parts order and needs the part immediately
- Type any Comments in the text box.
- Item # - The Inventory item number. The button to the right of the field can be used for inventory look up or type a ? in the field. For example, typing FIL? will bring up any part number that contains those letters.
- Item Name - The part description. This is a mandatory field.
- Quantity - Enter the quantity of the item needed.
- PO # - If the part has already been ordered then the purchase order number will appear.
- Warranty Item - A flag that indicates this part is covered under warranty. Edit Item will open a new window for the inventory item if one is specified.
- The Model# and Serial # fields will appear when equipment is on the Customer's file. If this item is linked to a customer's equipment, select it from the drop down menu.
- The Insert box, when checked, will insert a line above the one you are working in. The Del box will delete that line. The Rows To Add allows you to insert more that one row at a time.
