This page is a step-by-step guide on how to process payroll. All the links on this page are contained in the Payroll Course over to the left side of your screen. To get back to this page, click on the User's Guide link at the bottom of each page.

Payroll Setup: Before payroll can be run, all information must be entered into the system. Click on the following links for reference on entering this data.
  1. Employee File: The Employee File is where employee information is entered: pay rates, deductions, etc.
  2. Tax Entities: Tax Entities is used to enter tax codes, percentages and/or tables.
  3. System File: The System File contains current year, general ledger accounts and defaults for payroll.
Close Payroll: Before running Payroll be sure to close out the week before. Not closing directly after the payroll is run ensures that all the necessary back-ups occur so no vital information is lost.
  1. Post To G/L: Payroll should be posted to the general ledger before closing.
  2. Close Pay Period: Close Pay Period is run after payroll has been posted to the general ledger and checks have been printed and verified. Close Pay Period cannot be reversed, so it is very important to make sure everything is correct.
Process Payroll:
To begin payroll, hours are entered and compared to invoices, and any one-time deductions for this period are entered. Click on the following links to learn more about these areas.
  1. Hours File: The Hours File is used to manually enter hours for each employee.
  2. Time Cards: Time Cards contains time from invoices and any time that could have been entered by a technician.
  3. Override File: The Override File is used to enter one-time deductions that will only be used for this period. ie. Garnishments, etc.
When hours have been entered, time has been verified and miscellaneous deductions created, then you are ready to calculate pay and print checks. Click on the following links to learn how to use these screens.
  1. Calculate Pay: Calculate pay is run after hours are verified. This is where the payroll is actually processed.
  2. Payroll Register: Check the Payroll Register to verify that payroll was run successfully.
  3. Deduction Register: Check the Deduction Register to verify the numbers are correct.
  4. Hours/Earnings: Check the Hours/Earnings to make sure hours are right.
  5. Checks: Print checks after all information has been verified.
