How to get to Maintain Credit Memo: Click on Accounts Receivable, then Maintain Credit Memo.
This screen is for issuing credits against Late Charges and Invoices. This is not used to credit a customer's account so as to have a negative balance.

  • To make a new credit memo, enter a Credit # that has not been used. This can be anything you like limited to 6 characters. If the credit number you typed is not found after you press the Tab key on your keyboard, you will receive a message that reads 'Record does not exist! Click OK to add'.
  • To maintain a credit memo, type in the Credit # or use the look up key to search. Press the Tab key on your keyboard to bring up the credit memo.
  • In the Customer/Billcode field, choose from the scroll down menu whether the credit is going against a customer or billcode. Type in the Customer # or Billcode, or use the look up buttons to search.
  • In the Invoice/Late Charge field, choose from the scroll down menu whether the late charge will be going against the invoice or a late charge. Type in the Invoice # or Late Charge #. After you have entered this number, press the Tab key. The credit amount will automatically be pulled in from either the balance on the Late Charge or the Invoice. This credit amount can be changed as long as it does not go over the amount provided.
  • The Credit Date automatically defaults to today's date but can be changed.
  • Enter a brief Description of the transaction.
  • Enter the G/L Fiscal Period for when you are issuing this credit memo.
  • You must have at least one account affected by the credit memo other than Accounts Receivable. Enter the account(s) affected in the G/L Debit Account field and type in the G/L Debit Amount. Up to five accounts can be entered on this screen.
  • After you are done entering the information, click the Save button.
  • To delete a credit memo, type in the Credit # or use the search button to search. Press the Tab key to bring it up, then hit the Delete button.
  • To print out the memo, click on the Print button.
