The Dispatch Wizard is a quick and easy way to create a work order from the Schedule Board. Use this wizard to take calls from customers without ever leaving the Schedule Board. From here you can enter a new or existing customer, look up work orders or customers, add a new employee or assign an existing employee, record the description of the call, enter time promised, and page the technician with work order information while sending the schedule record to his Schedule Board for easy invoicing at the customer's site.

  • Existing Work Order - use the Find Work Order button to look up an existing work order number, or press the New Work Order button to generate a new number.
  • New Customer - when entering a new customer, check the New Customer box. Enter the customer's information and click the Make New Customer Using The Name Above button when complete. A customer code will be generated when finished and a box will pop up saying a new customer has been created.
  • Existing Customer - use the Find Customer button located to the right of the Existing Cust# field to look up a customer, or simply type in the customer's code. Press the tab key on your keyboard from the Existing Cust# field to bring in the customer's data.
  • When the customer fields are complete, click the Next button to continue through the wizard.
Dispatch wizard- employee

  • Do Not Assign Employee For Now. Make Call Pending? - check this box if you are not sure which technician will be called for this work order. The work order that is generated from the wizard will then appear on the Schedule Board in the Pending column and can be assigned to a technician at a later time.
  • New Employee? - check this box to enter a new employee from this screen. Enter the name of the new employee and his/her texting address. Click the Create New Employee button when finished.
  • Existing Emp# - enter the employee code in this field, or click the Find Employee button to use the search tool. Use the tab key on your keyboard from the Existing Emp# field to bring in the employee's information.
  • When the employee fields are complete, click the Next button to continue through the wizard.

  • Date Created & Date Promised To Customer defaults to today's date.
  • Select the times from the drop down menus under Time Called In and Time Promised. Time Departed, Time In-Route, Time Arrived, and Date Arrived will be entered by the technician as the call is being completed.
  • Completed - when this schedule record is completed by the technician, select Complete from the drop down menu. This will take this work order off of the Schedule Board.
  • Customer Contact - enter the name of the caller or contact person.
  • Enter the description of the work requested in the text area. This information will be paged to the technician with the customer's information.
  • When all fields are complete, click the Next button.

  • Text Message text area - the information in this box reflects the previous information entered in the wizard. This box can be edited.
  • Text Email Address - the email address is pulled from the emp-code.
  • Send Text Email? - check this box to send the email/text. If this box is not checked, a text will not be sent.
  • To finish, click the Save Work Order/Text Technician button. This work order will now appear on the schedule board.

  • An alter box like the one shown above will appear when the work order has successfully saved. Click OK to continue.

  • The work order we just entered is now on the schedule board as a schedule record (shown above). The box seen here will appear when you hover your mouse over the schedule record for 4 seconds. This hover menu is also what your technicians will use in the field from their own personal schedule board.
Schedule records on the board are color coded to reflect different status, such as Arrived, Departed, Completed and more. Use the legends at the top of the board to determine the color status of each record.
