Chart of Accounts

How to get to Chart of Accounts: Click on General Ledger, then Chart of Accounts.
The Maintain Chart of Accounts screen is where all accounts on the general ledger are created.

  • Enter an Account Number or use the lookup button to search.
  • Enter the account name in the Description field.
  • Click the Start on new page box if you would like this account to print at the beginning of a new page.
  • If this account is at the bottom of the list in a grouping of accounts, type this account number in the Group End field. Remember to also designate the first account in the group as a Master/Department at the bottom of the screen.
  • The Balance Sheet Column field allows you to organize your accounts. Number 1 will put them on the left and the following numbers will indent the account into separate columns.
  • The amount entered in the Yearly Budget field will be divided by 12 for a budget comparison on the income statement.
  • The MTD (Month To Date) Bal calculates the money moved so far this month. This is calculated as transactions are processed.
  • Choose an Account Type.
  • Type 1 designates this account as a title only.
  • Type 2 accounts are the accounts that have balances.
  • Types 3 - 8 are for totaling the other types. Type 3 will total all type 2 accounts. Type 4 will total all type 3 and so on. These accounts will not carry balances, they are only used for adding.
  • Type 9 will subtract the last totaling account from the totaling account above it.
  • A master account(M) is the top account of a group. The master must also be a type 2 account and will show the total of the whole group when pulled up as a summary.
  • Use of the Master/Department field is optional.
  • When using the Master/Department field, make sure there is a Group End account number.
  • For example, if account number 5000 was called Insurance the group end number could be 5010. Any account number falling between 5000 and 5010 would have its total dollar amount accumulated on the Summary Report. The description Insurance would print on the financial statements as a title, with the total dollar amounts of all the accounts that fall within that range. Transactions are not posted to Master accounts.
  • Department master accounts(D) are just like Masters, only they are used to describe cost accounts for departments.
  • Leave the Master/Department field blank if you do not want to use the grouping options.

  • Under the Monthly Balances tab, the total change of the balance for each month can be viewed.
